Designed to work with Orchard’s laboratory system or as an add-on to your existing system, Orchard Copia’s Java-based application is a front-end, web-based outreach system designed to increase your lab’s marketability by providing easy access and direct integration to your clients’ EHRs and other information systems.
The 2009 ARRA/HITECH Act incentivized EHR adoption and required use in a meaningful way. Interoperability and the portability of structured clinical data is a driving force behind these incentives. This four-day training class teaches you the necessary concepts and skills required to configure and manage interfaces in your Orchard Copia system. The class covers HL7 basics, interface configuration, connectivity methods, and management and troubleshooting of all interface activity, so that you can resolve problems more quickly and efficiently.
With Orchard Copia as the central test management system, users place orders in a single order entry window from any web-enabled PC, and Orchard Copia handles patient insurance, ICD-9/ICD-10 checking, ABN printing, and pre-defined lab routing preferences, saving time and maximizing reimbursements. Phlebotomists can review patient orders, generate a draw list, create bar code labels, or complete a shipping manifest from any web-enabled PC. Orchard Copia ordering incorporates clinical questions, container type information, and personalized comments on-screen or printed for each order, reducing errors and expediting collection. In addition, users can establish customizable user defined fields in the ordering process, with pre-defined values transmittable via the HL7 interface.
Orchard Copia makes it easy to customize image, color, and display settings, so that you can apply your organization’s logo to the ordering screens and reporting formats. Layout templates are used to customize report headers, bodies, order choice information, and footers, as well as requisitions, collection lists, manifests, customer versions of the Order Patient Sample page or Demographics page, blank patient requisitions, and form letters.
Configurable rules exist throughout each system for order entry, splitting orders, auto-approval of patient results, reflexing additional testing, automatic comments, result delivery, and billing/CPT codes, and you can define them based on numerous data fields, such as user, order location, test, or day of the week.
Configure Orchard Copia to automatically notify your providers by email when new results are available. From any PC with web access, providers can view the patient’s current result, the result with previous history, or even display a graph comparing all current and past results. Various security settings provide the necessary flexibility for secure access while maintaining HIPAA compliance. Create specific user role security settings to assign certain rights to each Orchard Copia user. Each major user action, from signing in to viewing patient charts, is tracked by the change logs or viewer action logs, available for review or export.
User friendly data mining tools allow you to create and save ad hoc management reports directly from your PC. You can schedule reports to run automatically without complex programming or the help of the IT department. In addition to the ad hoc reporting capabilities of Orchard Copia’s browsers, numerous report options are already available in the system, such as a Billing Summary Report, Completion Report, Order Exceptions Report, Reimbursement Problem Report, turnaround time, Utilization Report, and more. Not only are there built-in reports and data browsers, but an adjunct benefit is the ability to create SQL queries, useful for more in-depth reports. There are many administrative reports that can provide valuable benchmarking data and key performance indicators to offer insight into future strategic business decisions.
A bonus feature of Orchard Copia is its customized report format, which can combine patient test results from one or more laboratories into a single report. With authorized access, providers may review current and past results, both in text and graphic formats. This improves the quality of your reports and facilitates informed decision making. Depending on your facility needs, there are multiple methods selectable for report delivery, such as HL7 interface, fax, email, remote access printing, direct printing, inbox, or direct dial, each configurable specific to your individual client requirements.

The Client Services module is an optional add-on to the main Orchard Copia outreach solution that enables users to track inbound calls, collect data, monitor supplies provided to clients, run reports, and schedule phlebotomy and courier routes.

The Orchard Copia Mobile module provides that on-the-go access to allow providers to retrieve patient data remotely.
